From an after-hours enquiry to a paid trial booking
Most academy websites answer a trial request the same way: fill in the form and “we’ll get back to you within one working day.” The parent sent that message at 9.40pm. By the time someone reads it, they have also messaged the academy down the road.
Why the reply waits until morning
A trial enquiry is a placement problem. Someone has to read the message, work out the child’s age and level, check which venue is near them, find a class at that level with a coach and a free spot on a day that suits, and then hold that spot long enough for the parent to commit. That knowledge lives in one person’s head, and that person is not at the desk at 9.40pm.
So the form collects the enquiry, the enquiry waits for the morning, and the morning is when everything else also needs doing.
The fastest reply usually wins the trial. Not the best academy, and not the closest one. The one that came back with a real slot first.

Your rules decide what gets booked
This is not a chatbot that books trials on its own. It reads the enquiry and proposes a booking. Nothing is confirmed until it is checked against your real vacancy and your rules, and anything unusual waits for a human. The rules are yours, set once, and applied to every enquiry the same way:

- depositthe amount, and that no trial is confirmed until it has arrived

Outside those rules it does nothing. It asks when something is missing, says so when there is no slot that fits rather than inventing one, and hands over when the case is unusual. A hand-off is not a restart: the sheet already holds the conversation so far, the level and days the parent gave, and the slot that was offered, so whoever picks it up continues from there. Every step is recorded, so if a parent asks why they were offered Tuesday and not Thursday, the answer is on file. Nothing runs unsupervised, and the judgment calls stay with your staff.
